AI automation for independent hotels: 12 workflows that save hours

The 12 automatable workflows across acquisition, sales, stay and reporting, with a metric and stop condition for each.

What is worth automating

A good automation candidate meets three conditions: it repeats often, it has a predictable answer, and getting it wrong is not catastrophic. Answering the check-in time fifty times a month meets all three. Handling a serious noise complaint meets none.

Before configuring anything, confirm your systems share data. Automating across disconnected systems forces manual exports that cancel most of the saving.

Acquisition workflows (1-3)

  1. WiFi registration with consent: the guest connects, leaves email and language, and enters the CRM already segmented. Metric: valid contacts per 100 stays.
  2. Enriched digital check-in: verified data, preferences and extras offered in the same step. Metric: share of check-ins completed online.
  3. Intent-based web capture: different offer or availability forms depending on the page visited. Metric: leads per session.

Sales workflows (4-6)

  1. Automated availability replies on WhatsApp and email, in the guest's language with real conditions, escalating to a human when the enquiry is complex. Metric: average first response time.
  2. Booking engine abandonment recovery: a message with the same searched dates within hours; usually handled by the booking engine or a website conversion tool. Metric: recovered bookings over abandonments.
  3. Rate disparity alerts: notification when an OTA undercuts your website so the team can fix the rate in the channel manager or extranet. Metric: hours out of parity per month.

Stay workflows (7-9)

  1. Pre-stay information and upsell at 7 and 2 days before arrival. Metric: revenue from extras sold.
  2. In-stay issue detection: a short mid-stay survey that opens an internal alert when the score is low. Metric: issues resolved before check-out.
  3. Post-stay review request segmented by detected satisfaction. Metric: new reviews per month.

Reputation and reporting workflows (10-12)

  1. Review response drafts in the original language, reviewed by the team before publishing. Metric: share of reviews answered within 72 hours.
  2. Content and social publishing: a calendar built from positioning and active offers. Metric: posts per week and reach.
  3. Daily business report: occupancy, pickup, ADR and variance versus last year, with alerts by date range. Metric: reporting hours removed.

Governance: owner, stop condition, metric

Every automation needs three things written down: who owns it, under what condition it must stop (for example, if the guest replies, if there is an open incident or if the booking is cancelled) and which number proves it works. Without a stop condition you get the cases that damage guest relationships: reminders to people who already cancelled, surveys to guests who just complained.

Mistakes that break automation

  • Sending in the wrong language because the language field was never captured.
  • Duplicate communications because two tools send the same message.
  • Failing to exclude contacts without consent or who unsubscribed.
  • Automating complaints instead of escalating them.
  • Not reviewing workflows after a season or rate change.

No single tool covers all twelve workflows. GuestBrain covers the marketing ones: WiFi registration with consent (captive portal, one-time add-on), 24/7 WhatsApp replies in the guest's language using the hotel's information with handoff to the front desk (AI concierge, add-on), disparity alerts, pre-stay and post-stay emails, and review and reputation metrics. Digital check-in, booking engine abandonment recovery, surveys, review replies, social publishing and occupancy and pickup reports depend on your PMS, booking engine or other tools.

Frequently asked questions

Contact and consent capture, commercial enquiry responses, booking engine abandonment recovery, pre-stay and post-stay communications, service upsell, review requests and replies, content generation and social publishing, and daily occupancy and pickup reporting.

It depends on enquiry volume, how many sends are done by hand and how much time goes into building reports. Most hours are freed across reception, reservations and marketing: repetitive enquiry handling, manual sends and report building. Measure the current hours spent on each task before automating so you can compare afterwards.

Not if you use a platform that already integrates PMS, booking engine, email, WhatsApp and campaigns. Technical work concentrates in the initial connections; after that, workflows are configured inside the tool.

Only if you automate what guests value as human. The practical rule is to automate informational and repetitive touchpoints (confirmations, times, reminders, surveys) and leave complaints, incidents and special requests to the team.

PMS and booking engine as a minimum, since they carry the booking and the stay. Then a channel manager for channel mix, email and WhatsApp platforms for communication, and the ad accounts to close the attribution loop.
